Privacy Notice

Equip 2 Excel ("we", "us", Jodi Peeters trading as Equip 2 Excel) is committed to protecting your privacy. This notice explains how we handle your personal information in line with the New Zealand Privacy Act 2020. It applies to coaching clients, cohort participants, sponsoring organisations, prospects and website visitors.

The information we collect

• Contact and identity details — name, email, phone, organisation, role, timezone.
• Coaching information — intake and pre-coaching reflections, goals, session notes and summaries, and any recordings or transcripts you have consented to.
• Assessment results — for example CliftonStrengths (Gallup) or Deeper Signals profiles, where these form part of your programme.
• Sponsor and engagement details — where an organisation sponsors your coaching, we hold the sponsor contact and agreed goals.
• Payment and billing information — invoicing details and payment records. We do not store full card numbers.
• Marketing information — if you subscribe to our newsletter, your email and your engagement with our content.
• Website and enquiry data — information you submit through forms or booking tools.

Why we collect it

• To deliver coaching, cohort programmes, workshops and assessments.
• To prepare session summaries, track progress and support your development.
• To administer bookings, invoicing and our client relationship.
• To meet International Coaching Federation (ICF) credentialing requirements, which include keeping a confidential log of coaching hours and client contact details.
• To send you content you have asked to receive, and to improve our services.

Who we share it with

We do not sell your information. We share it only where needed to deliver our services, using trusted providers who may store data overseas:

• Zoom — video sessions, recordings and AI notes, where consented.
• Paperbell — scheduling and client management.
• MailerLite — newsletter delivery, subscribers only.
• Gallup / Deeper Signals — assessment platforms, where part of your programme.
• The ICF — a limited record of coaching hours and contact details for credentialing.
• Our accountant and bank — for invoicing and financial records.
• Your sponsor or manager — only broad, agreed development themes, and only with your knowledge and permission. Session content and personal disclosures are never shared.
• Where required by law, or to prevent a serious threat to safety.

How we store and protect it

Your information is held in access-controlled cloud storage and reputable third-party platforms. Access is limited to Jodi Peeters. We take reasonable steps to keep it accurate, secure and protected from loss or misuse.

How long we keep it

• Recordings and transcripts — duration of the engagement plus up to 12 months, then deleted.
• Coaching notes, summaries and ICF hour logs — retained as part of your coaching record and for professional and tax obligations.
• Newsletter data — until you unsubscribe.

Your rights

Under the Privacy Act 2020 you have the right to ask what information we hold about you, to request a copy, and to ask us to correct anything inaccurate. To do so, email info@equip2excel.com. We will respond within 20 working days.
